Access Jive Video Pro

Watch Video

Jive Video Pro is a video conferencing tool that allows you to meet face to face with colleagues or customers even, if they’re on the other side of the world. Participants can join your meeting room using a SIP-enabled video conferencing endpoint, web browser, mobile application, or audio-only direct dial access. In-conference options include chat and content sharing, providing the capability for global collaboration without the travel expenses.

Get Started

The Polycom® RealPresence® Web Suite Extension is required for full conferencing capabilities. If you do not have this installed, you will be prompted to download and install before entering a meeting room.

Access Jive Video Pro

1. Go to portal.jivevideo.ourvmr.com.

Browser Support

  • Internet Explorer 9.0 or higher
  • Mozilla Firefox® 31.0 or higher
  • Google Chrome™ 35.0 or higher
  • Safari 6.1.6 or higher

2. Enter your Email and Password.

3. Click [Sign In].

Basic Navigation

Home

Goes back to the current meeting room.

Mode Selector

Toggles between Admin Mode and Meeting Mode.

Note: Only admins have access to Admin Mode.

User/Menu

Displays the user currently logged in. Click the user for more options:

Change Password
Creates a new password.

Sign Out
Signs out of Jive Video Pro.

Tabs

Toggles between the current meeting and room settings.

Current Meeting Tab

Start Meeting/Meeting in Progress

Start/Join via browser
Launches a new tab to join the meeting room from your browser.

Note: You can select your microphone, speaker, camera, and call quality preferences before joining the call.

Start/Join via phone
Launches a window with instructions explaining how to join the meeting room from your phone.

Start/Join via endpoint
Launches a window with instructions explaining how to join the meeting room using a conference device (endpoint).

Room ID

Unique identification number assigned to the meeting room.

Host Code

Numerical password required for a host to join the meeting room. Hosts have additional in-meeting features.

Participant Code

Numerical password required for an attendee to join the meeting room.

Lock Meeting

Prevents any new attendees from joining the meeting room.

End Call

Ends the meeting and hangs up on all attendees.

Attendees

Lists the attendees currently in the meeting room.

  • Mute
    Mutes/Unmutes a single attendee’s microphone.
  • Hang up
    Removes a single attendee from the meeting room.

Click [Invite] to add more attendees.

  • Dial-out
    Dials a conference device (endpoint) using SIP, Lync, or H.323 protocols.
    Note: This cannot be used to dial a 10 digit phone number.
  • Share meeting instructions
    Provides the Browser Link and Full Instructions to join the meeting room to be sent to new attendees.

Schedule Tab

[Schedule Meeting]

Creates a new meeting.

Date Selector

Toggles between the day, week, and month views. Click the arrows to move between days, weeks, or months.

Go to today
Click  to go back to today’s date.

View/Edit Meeting Details

Click a meeting summary in the left sidebar to view/edit its details.

Meeting Details

Displays detailed meeting information. Click the settings icon to edit/delete the meeting.

Settings Tab

Room Name

Name by which the meeting room is identified.

Conference ID

Unique identification number assigned to the meeting room.

Host Code

Numerical password required for a host to join the meeting room. Hosts have additional in-meeting features.

Participant Code

Numerical password required for an attendee to join the meeting room.

SIP Address

SIP address shared with attendees to join the meeting room using an conference device (endpoint).

Web Meeting URL

URL shared with attendees to join the meeting room using a web browser.

Edit

Click the edit icon to make changes.

Share

Emails the meeting room details to the email address assigned to your user profile.

In-Meeting Call Features

Connection

Displays your connection strength to the meeting room.

 

Mic

Mutes/Unmutes your microphone.

Video

Enables/Disables your camera.

Speaker

Mutes/Unmutes your speakers.

Self View

Displays/Hides your video feed at the bottom.

End

Exits the meeting room.

Note: Hosts have the option to end the meeting for all attendees.

Content

Shares your monitor with attendees.

Menu

Displays additional meeting room information, tools, and settings.

Roster

Displays a list of all attendees in the meeting room. Hosts can hover over attendees for additional meeting controls.

Mute All
Mutes/Unmutes all attendees’ microphones.

Attendee Role
Changes the role of an attendee (Guest, Participant, or Chairperson [host]).

Mute
Mutes/Unmutes a single attendee’s microphone.

Note: Attendees that are speaking are in blue.

Hang up
Removes a single attendee from the meeting room.

Chat

Displays the group chat conversation. Enter a message and then press then press ENTER on your keyboard to send a new message.

Add

Provides instructions and options to join the meeting room.

Dial Pad

The dial pad does not currently offer any functionality.

Settings

Audio and Video Settings
Selects the desired microphone, speaker, and camera used during the meeting.

Call Information and Statistics
Displays instructions explaining how to join the meeting room from a browser, phone, or conference device (endpoint) as well as call statistics.

Help

Launches a new window with contact information for additional support.

For iOS

Get Started

Install App

1. Search for “realpresence” within the App Store.

2. Tap [GET] for the Polycom® RealPresence™ Mobile app.

The app will then appear on the home screen.

Device Settings

To maximize functionality, Jive recommends enabling all of the following settings.

From the home screen, go to Settings > RealPresence (you will need to scroll down through a list of all the installed apps).

Microphone

Allows the app to use the device’s microphone.

Camera

Allows the app to use the device’s camera.

Notifications

Defines how notifications are displayed on your device for incoming calls, etc.

Join a Conference

1. Deselect Register with Polycom.

2. Tap [Next].

3. Tap Skip sign in.

Note: Steps 1-3 are only required the first time you access the app.

4. Tap the keyboard icon.

5. Enter the room SIP Address provided by the meeting host and then tap [Done].

Tip: The SIP Address is the Conference ID followed by @ourvmr.com. For example, if your conference ID was 1234567, you would enter 1234567@ourvmr.com.

6. Tap the dial icon.

7. Tap the keypad icon.

8. Enter either the Host code or Participant code and then tap #.

Install App

1. Search for “realpresence“ within the Google Play Store.

2. Tap the Polycom® RealPresence™ Mobile app.

3. Tap [INSTALL].

The app will then appear on the home screen.

Device Settings

To maximize functionality, Jive recommends enabling all of the following settings.

From the home screen, go to Settings > Applications > Application Manager > Video (you will need to scroll down through a list of all the installed apps) > Permissions.

Camera

Allows the app to use the device’s camera.

Contacts

Allows the app to access contacts stored on your device; merging your personal contacts with the app.

Microphone

Allows the app to use the device’s microphone.

Phone

Allows the app to make and receive calls.

Storage

Allows the app to access the phone’s storage.

Join a Conference

1. Deselect Register with Polycom.

2. Tap [Next].

3. Tap Skip sign in.

Admin Mode

Role Required

In order to setup Jive Video Pro, you must have the Org Admin role given to you by Jive.

Users

Filter

Searches the users – the results will be returned instantly as you type each character.

[Import Users]

Imports multiple users at once with data from a .csv.

Notes:

  • You cannot add more users than your plan allows. Duplicate users will be removed upon upload.
  • The .csv must contain a header row with “Email”, “First Name”, “Last Name”, as column names, in that order.
[Create User]

Creates a new user and assigned meeting room.

Status

Activates/Deactivates the user’s access to Jive Video Pro.

Actions

Set as Contact
Assigns the user as the primary point of contact.

Delete
Deletes the user and their meeting room from the system.

Note: Deleting a user does not reduce the number of allocated licenses.

Profile Tab

To access a user profile, click the user’s name.

Name

Name by which the user is identified.

[Delete User]

Deletes the user and their meeting room from the system.

Note: Deleting a user does not reduce the number of allocated licenses.

Email

Email address used to access Jive Video Pro, reset the user’s password, and receive meeting room details.

Status

Organization assigned to the user.

Role

Active
User can access Jive Video Pro.

Inactive
User cannot access Jive Video Pro.

Account created

Date the user was created.

Last signed in

Date the user last signed in.

Edit

Click the edit icon to make changes.

Reset Password

Click [Force Reset] to email the user instructions to reset their password.

Meeting Rooms Tab

Note: A user can only be assigned a single meeting room.

Room Name

Name by which the meeting room is identified.

[Delete User]

Deletes the user and their meeting room from the system.

Note: Deleting a user does not reduce the number of allocated licenses.

Share

Emails the meeting room details to the email address assigned to the user profile.

Delete

Deletes the meeting room from the user.

Room template

Defines the maximum call length and number of participants.

Standard

  • Max participants: 25
  • Max call length: 8 hrs

Default Meeting Room Template

  • Max participants: 5
  • Max call length: 8 hrs
Conference ID

Bills

Billing Report Tab

Current Charges

Summary of all billable services for the billing period.

Billing Period

Date range during which services were provided.

[Export CSV]

Downloads the meeting room usage data or meeting information to a .csv file.

Plan Overview

Current Plan

Displays the current plan purchased on the account.

Plan Start Date

Date the plan was started.

Plan Details

Details license availability and usage, billing information, and room template settings.

Roles & Privileges

Because roles are limited to end users and org admins, this tab currently does not offer any functionality and is solely informational.

End User
User has access to meeting mode only.

Org Admin
User has access to meeting mode and admin mode.

Note: Roles can only be changed by Jive.

System Settings

Because Jive Video Pro is setup and managed by Jive, this tab currently does not offer any functionality.
